Primary Purpose:

Serve as a key support to the Transparent.ly team by ensuring the efficient day-to-day operations of the organization and supporting the work of management and other staff. Aid in the management of Transparent.ly related projects to ensure timely completion and efficiency. The Transparent.ly Office Manager must be capable of solving any problem that arise outside the normal course of business. Apply good judgment, develop a plan of action, organize the effort and manage other team members.

Essential Duties and Responsibilities:

  • Develop practical solutions to problems that may arise in a variety of functional areas, e.g., billing, recruiting, licensing, and compensation plan creation
  • Possess the ability to keep detailed project notes and records
  • Develop project strategies
  • Create project schedules
  • Create task lists for team members
  • Organize meetings
  • Monitor project progress, budgets, and hours
  • Manage project follow ups and keep project moving towards the finish line
  • Must possess the ability to successfully manage project timelines to completion
  • Ability to keep all team members up-to-date with current information and paperwork
  • Communicate with team members to ensure optimal strategy and maximum efficiency
  • Aid with recruitment efforts and the new hire process from position definement to employee onboarding
  • Run general business office activities including software delivery and supply management (e.g., computers)

Minimum Skills and Competencies:

  • High school diploma or general education degree (GED)
  • 2+ years of hands on administrative support experience
  • Must possess effective verbal and written communication skills
  • Must perform well in high-energy, dynamic and team-oriented environments
  • Effective organization and time management skills with the ability to work under pressure and adhere to project deadlines
  • Excellent interpersonal skills with the ability to establish working relationships with individuals at varying levels within the organization
  • Demonstrated integrity within a professional environment.  Be trustworthy and discrete.
  • Ability to adapt to new situations and learn quickly 
  • Incredibly organized, a list maker type of orientation
  • Works independently with little supervision
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

Desired Skills:

  • Bachelor Degree
  • Previous experience within insurance industry
  • Ability to type 45+ words per minute
